Position Overview

We are seeking a detail-oriented Collection/Payables Specialist to support our accounting and administrative operations. This role focuses primarily on accounts receivable collections, accounts payable processing, and assisting with various accounting and HR-related tasks. A strong understanding of accounting principles and excellent communication skills are essential.

Key Responsibilities Collections & Accounts Receivable

• Monitor and manage past-due customer accounts.
• Contact customers to collect outstanding payments in a professional manner.
• Research and resolve misapplied, missing, or disputed customer payments.
• Coordinate with external collection agency when internal efforts are exhausted.
• Prepare and process daily bank deposits using remote scanning tools.
• Apply customer payments and perform deposit reconciliations.

Accounts Payable

• Receive, review, and verify vendor invoices for accuracy.
• Ensure invoices receive proper management approval.
• Obtain missing invoices and supporting documentation as needed.
• Prepare payments including check runs and credit card transactions.
• Maintain organized, accessible records and documentation.

General Accounting & Administrative Support

• Maintain AR/AP reports, spreadsheets, and other internal accounting files.
• Track and update Subcontractor Certificates of Insurance and customer Tax Exempt Certificates.
• Assist with routine and ad hoc accounting or human resources projects.

Qualifications

• 2-year Accounting degree required.
• Previous accounting experience (AR/AP or related fields preferred).
• Proficiency with current accounting software and reporting tools.
• Strong attention to detail and ability to meet deadlines.
• Excellent analytical, organizational, and problem-solving skills.
